- How should we send the needed information?
- Information can be sent to us in a multitude of ways. The information can be sent via US Postal Service, Email, Fax, or Courier Service.
- How often should we send you information?
- Information can be sent as often as you like but we do recommend a weekly submission at the very least.
- What kind of information do you need in order to submit claims on our behalf ?

- A superbill containing all CPT and ICD-9 codes and any modifiers.
- A patient information sheet containing all patient demographics.
- A copy of the front and back of the patient insurance card.
- Referring physician information if necessary
- Can you submit electronic claims to all insurance companies?
- Most commercial insurance companies, as well as Medicare, Medicaid and BC/BS, accept electronic claims. However, there are still some companies that are not set up to receive electronic submissions such as Workers Comp. In these cases the claim will be sent on paper with any appropriate attachments.
- Can you be HIPAA Compliant when Outsourcing your billing?
- Yes! Billing companies have the same obligation that you do in terms of protecting PHI (personal health information). Furthermore, billing companies are required to submit their electronic claims in the proper HIPAA compliant format.
- Who does the follow up on the claims?
- We follow up on every claim that we submit. Including, monitoring for proper reimbursement based on contracted rates with payers.
- Where do my reimbursements go?
- All remittances / payments will go directly to your practice. We will require a copy of all checks and EOB's for posting to the proper patient account.
- Will you need to take any patient charts out of my office?
- No. Patient charts will never leave your facility. Occasionally an office note may be needed to appeal a claim or in some cases required with claim submission. If one of those situations arises we will let you know what the insurance company is asking for in order to have the claim processed correctly.
- Is Clifford Medical Billing Specialists HIPAA Compliant?
- Absolutely! HIPAA is a very important subject, which we take seriously. We have taken great efforts in developing a compliant office with computer password protection, locked cabinets, secured fax as well as other things like shredding any PHI documents and keeping our employees educated on HIPAA policies.
- Does our practice have to be a certain size?
- No. We welcome all practices big and small, new and established.
